Booking & Cancellation Policy

Understand our policies regarding booking confirmation, payment, and cancellations for shifting services.

1. Introduction

At VRL Cargo Packers and Movers, we strive to make your shifting experience as smooth and transparent as possible. This Booking & Cancellation Policy details the procedures, terms, and conditions regarding the scheduling, payment, and potential cancellation of our packing and moving services.

2. Booking Process and Confirmation

We highly recommend booking our services well in advance to secure your preferred shifting date.

  • Quotation: After you submit an inquiry or complete a pre-move survey, we provide a detailed, itemized quotation. Quotations are generally valid for 15 days.
  • Advance Payment: To confirm your booking and reserve our packing crew and transport vehicles, an advance payment (token amount) is required. The specific amount will be communicated during the quotation phase.
  • Confirmation: Your booking is considered fully confirmed only upon receipt of the advance payment. You will receive an official booking confirmation and an IBA approved bill / receipt for your records.

3. Payment Policy

Our payment terms are designed to be straightforward and secure:

  • Advance: A token amount must be paid to block the dates for your relocation.
  • Remaining Balance: The outstanding balance must be cleared before or immediately upon unloading your goods at the final destination.
  • Payment Modes: We accept payments via NEFT/RTGS, UPI, major Credit/Debit Cards, and Cash.

4. Cancellation Policy

We understand that circumstances can change unexpectedly. If you must cancel your booking, the following cancellation rules apply:

  • More than 48 hours notice: If you cancel your booking at least 48 hours prior to the scheduled packing date, you are eligible for a full refund of your advance payment, minus nominal administrative or processing fees.
  • 24 to 48 hours notice: Cancellations made within this window may incur a cancellation fee equivalent to 20% to 30% of the advance amount to compensate for blocked labor and vehicle scheduling.
  • Less than 24 hours notice (or No Show): Last-minute cancellations, or cancellations made on the day of the move, are non-refundable. The advance payment will be retained entirely to cover the operational costs incurred.

5. Postponement and Rescheduling

If you need to change your shifting date rather than cancelling entirely, we will do our best to accommodate your request:

  • Please notify us at least 48 hours prior to your original moving date.
  • Rescheduling is subject to vehicle and crew availability on your new preferred dates.
  • While we do not typically charge a penalty for early rescheduling, the final quotation may be revised if there are changes in transport fares or seasonal demand differences for the new dates.

6. Refund Process

For eligible cancellations, refunds will be initiated promptly.

  • Approved refunds will be processed back to the original source of payment.
  • Please allow 5 to 7 business days for the refunded amount to reflect in your bank account or credit card statement.
